Are you an organised and detail-oriented Librarian or legal support professional looking for a part-time opportunity within a highly regarded London law firm?

This is an excellent opportunity to join the firm's Knowledge & Innovation function, supporting the effective management of legal resources, subscriptions and library services across the business.

Reporting directly to the Head of Knowledge & Innovation, you will play an important role in ensuring the smooth day-to-day operation of the firm's library and information services. This position offers a varied workload, combining administration, supplier management, resource maintenance and user support within a collaborative and professional environment.

This is a part-time position requiring office attendance either two or three days per week, making it an excellent opportunity for someone seeking flexibility whilst remaining within a professional services environment.

The Role

Working closely with the Head of Knowledge & Innovation, you will be responsible for managing the firm's library resources, subscriptions and supplier relationships, ensuring lawyers and business services teams have access to the information and tools they need.

Key responsibilities include:

  • Maintaining and updating library catalogues, including new acquisitions, updated editions and withdrawn materials
  • Managing hardcopy subscriptions, textbooks, looseleaf services and journals, including ordering, distribution and supplier liaison
  • Monitoring subscription renewal dates and coordinating renewals or cancellations with internal stakeholders and suppliers
  • Obtaining quotations and negotiating renewal terms with suppliers where appropriate
  • Processing invoices, checking accuracy and coordinating payments with the Accounts team
  • Logging and maintaining supplier contracts within the firm's document management system
  • Managing user access to online legal resources and liaising with suppliers to resolve access issues
  • Monitoring usage data and preparing reports to identify underutilised resources
  • Maintaining supplier and training provider contact records
  • Providing general administrative support to the Knowledge & Innovation function as required

Requirements

  • Previous experience as a Librarian within a law firm or professional services environment is preferred
  • Alternatively, experience as a Legal Secretary or Legal PA with an interest in moving into a library and knowledge management role will be considered
  • A minimum of 1-2 years' professional experience within a legal or professional services environment
  • Strong organisational skills with excellent attention to detail
  • Good written and verbal communication skills
  • Ability to manage multiple tasks and work independently
  • Comfortable using Microsoft Word and Excel at a basic to intermediate level
  • Experience using a document management system is essential
  • A proactive, reliable and flexible approach to work
  • Someone who enjoys working in a supportive team environment and takes pride in maintaining high standards

  • Salary: £30,000-£35,000 pro rata
